Benevolent Fund

The AWAK Benevolent Fund exists to provide timely, dignified, and sustainable financial support to members and their immediate families in the event of bereavement. This fund replaces the former Welfare Fund and operates under clear governance, contribution, benefit, and claim structures as adopted by members at the AGM.

The fund was established to assist families of AWAK members who pass away, helping to cover burial and related expenses. To improve sustainability and reduce emergency contribution pressure, AWAK transitioned the system from a Welfare Fund to a Benevolent Fund Scheme.

Justification for the scheme:

  • Cost-effective administration

To ensure the well-being of our members, we kindly request that everyone adheres to this code of conduct.

ETHICAL GUIDELINES

All applications for funds:

  1. Must be honest
  2. Must accurately detail the situation by providing the Death Certificate or a Death notification, along with a Copy of the ID of the primary member and the ID of the deceased member
  3. Every member is required to complete the Next of Kin form during onboarding to the fund, which clearly indicates the intended use of the Funds will be allocated to the recorded next of kin in the event of a member’s passing
  4. Shall not encourage unrealistic expectations regarding the outcomes of the fund
  5. Expenditures on the benevolent fund and administration shall be minimized and remain cost-effective
  6. All fund requests will uphold the dignity and privacy of individuals who may benefit from the Benevolent fund
  7. Each member is entitled to one claim for parents, even if multiple siblings are members of awak
  8. The claim must be initiated by the member or the designated next of kin through
  9. awak@awak.co.ke or the specified email address
  10. Approval will occur in phases or as determined by the board periodically

The benevolent fund benefits shall cover the death of immediate family members, specifically:

  1. Member
  2. Spouse
  3. Children (both biological and legally adopted children of a member)
  4. Parents (biological parents of a member)
  5. In-Laws (up to a maximum of 2 – Mother In-Law, Father In-Law)
  6. AWAK Employee (criteria a, b, c, d applies)

The benefit amounts to be as follows.

  1. In the event of a member’s death, a sum of kes. 50,000 will be disbursed and presented to the next of kin by a member of the board or secretariat.
  2. In the event of a member’s spouse passing away, a sum of 50,000 will be given directly to the members.
  3. In the case of a biological or legal child of a member passing away, a sum of 30,000 will be given to the members.
  4. In the event of the death of biological parents, a sum of 30,000 will be given to the members.
  5. In the event of the death of mother in-law, father in-law, a sum of kes. 30,000 will be given to the members.
  6. In the event of nominated relatives, a sum of 30,000 will be given to the members.
  7. The annual contribution for the fund is set at kes. 500, effective, 1st of January, 2026, and
  8. No claims shall be made retrogressively

In order to assist in proper & effective management of funds and claims, the following additional regulations shall be applicable

  1. A member can only submit a maximum of two (2) claims within a span of twelve months.
  2. The board/secretariat is responsible for reviewing and approving all cases, and their decision shall be deemed final.
  3. All associated administrative costs shall be covered by the fund.
  4. Only active members, who have been part of the association for a minimum of six months and have made subscription contributions, are eligible to submit a valid claim.
  5. A member whose account was previously dormant and has been reactivated may only submit a claim after six months after making subscription payments.
  6. Any claim that is submitted and approved will only be payable after deducting any outstanding obligations owed by the member.
  7. A Next of Kin form must be completed and signed by all members, effective from 1st January, 2026.
  8. Only the board/secretariat is authorized to announce the passing of a member on group walls, emails, and online platforms, following the completion of background checks by the office.
  9. Claims must be submitted within a 15-day period following the occurrence of death.
  10. Fund beneficiaries are expected to refrain from being overly persistent or persuasive.
  11. To avoid member fatigue, requests for assistance with medical expenses for the aforementioned beneficiaries will be addressed on a case-by-case basis as approved by the board, considering the nature of the illness, the required amount, and whether the member is actively employed or has medical coverage.
  12. No coercion shall be exerted on AWAK members.
  13. Members are required to disclose any potential conflicts of interest that may arise.
  14. Members must not have any disciplinary issues with AWAK.
  15. Members must be up to date in payment of their annual subscription payments.
  16. A member is permitted to amend the Next of Kin Form, which will invalidate the previous list and be treated as a new list, thus subject to a four-month waiting period.
  17. Once a claim has been made and paid, no additional claims shall be allowed on the same matter.
  18. Only one claim may be submitted per death.

Any claim must be submitted using a prescribed form and will only be processed if it is accompanied by:

  1. In the event of a member’s death, a death notification or certified burial permit or death certificate and an ID copy of the deceased.
  2. In the event of a spouse’s death, a certified copy of the marriage certificate, a death notification or certified burial permit or death certificate and an ID copy of the deceased.
  3. In the event of a biological or legal child’s death, the original birth certificate of the deseased along with a copy, a death notification or certified burial permit or death certificate and an ID copy of the member
  4. In the event of the death of biological parents, the member’s ID, birth certificate and a copy (to verify their parental status), along with a death notification or certified burial permit or death certificate and an ID copy of the deceased.
  5. In the event of the death of Father in-law, Mother in-Law, the member’s birth certificate/ID, Spouse Mariage certificate, Spouse ID, along with a death notification or certified burial permit or death certificate and an ID copy of the deceased
  6. Unmarried Members or Members in a relationship that is not legally registered shall be allowed to nominate1 additional relative. Nomianations of additional relative must be done in writing and at least 6 months before any claim can be made using a prescribed form and an ID copy shall be attached of the additional relative. Incase of demise of the nominated relative, a death notification or certified burial permit or death certificate and an ID copy of the nominated relative.

The Board of Directors shall monitor operations during the first year of operation and provide additional recommendations for consideration in subsequent Annual General Meetings or Special General Meetings.
